Visitor Management System Volunteers

    Our security team is implementing a visitor management system to enhance the safety of our patients and team members. Visitors will be required to stop at our hospital entrances to receive a visitor badge. Does anyone have experience with this and/or have volunteers who are assisting with a similar initiative? Service description for this type of volunteer role? Thank you.

    We utilize a check in/check out system like this for our hospital visitors. Our Guest Services staff (paid) handle this process. I would be hesitant to put a volunteer in this position because some visitors are not happy about having to provide their info/ID to be able to visit and can get harsh with words. We also have our Security staff nearby most check-in areas for the times when a visitor escalates because they don't understand why they need to check in.

    Our security team runs the visitor management requirements. They hired specific team members to serve in these roles separate from security officers. Volunteers may be located at the same area to help visitors navigate to their destination in the hospital, but they do not serve on the visitor management team. I would steer clear of that for many reasons, including no info patients and the potential for error with sending people up, dealing with difficult visitors who don't want to go through the process, and the 24 hour nature of the role.

    We have a visitor check-in system too, where they have to provide proof of identity to a member of our public safety team and receive a visitor badge. Volunteers at those checkpoints are there primarily to escort guests to their destination. And, when there's a line, they'll chat with the people who are waiting, letting them know what they need to prepare and making polite conversation. They also help with collecting guest badges when they leave, just reminding guests to turn in their badge, and helping to properly dispose of the badges. Volunteers for this role also restock sanitation stations at entry ways and collect wheelchairs after use. They don't do any of the actual guest registration/badging though.
