Record Retention - medical info

    This is a question that gets asked/answered from time to time, but I want to confirm current policies. 

    I had been under the impression that volunteer records were kept for 7 years, similar to employees, and that Employee Health retained volunteer medical information (TB tests, immunization records) for 30 years, also in line with employee standards.

    We know that medical info can't be store in Volgistics as it is not HIPPA compliant.  

    I recently learned that our Employee Health department is not retaining volunteer medical records once individuals are inactive, since our volunteers do not provide patient care or have exposure risk, and there have been no workplace injury claims.

    What is your retention policy on the medical onboarding records, like TB tests and immunization review?  Is your policy based on anything other than guidance from your HR Department?

    We are the same as you.   We retain the employee health files in our office and then put them in storage.

    all volunteer files become electronic and have been kept from the inception of the auxiliary for historical purposes as we have memorial services with names placed on plaques.  

    all medical records have been extracted from the volunteer electronic files.  this extraction was done via our IT/IS department.  Future medical records are kept in Employee Health and are overseen by the policies and procedures of said department.
